What we collect, why we have it, and what we will never do with it.

The short version
- We hold club data so the club can run its season. We do not sell it, and we do not use it to advertise to your families.
- A club owns the records it puts in. We process them on the club's behalf.
- Card numbers never reach our servers — Stripe handles payment details.
Who is responsible for what
When a club uses BSBLOps, the club decides what information to collect about its players and families and why. We provide the software and store that information on the club's behalf. If you are a parent with a question about why your club holds something, or you want a record corrected or removed, start with your club — they control it. We will help them action it.
Information we collect
- Account information — name, email address, and a hashed password for anyone who signs in.
- Club records — teams, seasons, rosters, coaches, locations, schedules and attendance.
- Player and family information — a player's name, date of birth or age group, jersey and position, the parents or guardians linked to them, and contact details. Clubs may also collect medical notes, emergency contacts and signed releases through registration forms they configure.
- Payment records — what was charged, what was paid, what is outstanding, and the Stripe identifiers needed to reconcile it. Not card numbers.
- Communications — messages and announcements sent through the platform, and whether an email was delivered or bounced.
- Mobile phone number — only if someone turns on SMS notifications and confirms their number. It is optional, and the service works without it.
- Technical logs — IP address, browser and timestamps for requests, kept to operate the service and investigate abuse.
Children's information
A travel baseball club's records are mostly about minors. Players do not sign themselves up: a parent or guardian, or a club administrator, enters a child's information and agrees to the club's terms on their behalf. We do not knowingly allow a child under 13 to create their own account, and we do not use children's information for advertising or profiling of any kind.
A parent or guardian may ask their club to review, correct or delete the information held about their child. We support clubs in honouring those requests.
How we use it
To run the service the club is paying for: showing schedules, collecting registrations and payments, sending the club's messages, keeping roster history, and supporting the club when something goes wrong. We also use aggregate, non-identifying usage information to understand which parts of the product are working.
We do not sell personal information, and we do not share it with advertisers. We do not sell mobile numbers, and we do not share a number or an SMS opt-in with anyone else for their own marketing.
Who else touches it
We use a small number of processors, each for a specific job:
- Stripe — payment processing. Card details go to Stripe directly.
- Hosting and database providers — to run the application and store its data.
- RelayFlow — email and SMS delivery, operated by Rusanval Holdings, LLC (dba Astucia AI). It receives a mobile number only in order to deliver the club's message to the family it is addressed to.
- TeamSnap — only if a club connects it, and only for the data that sync covers.
We may also disclose information where the law requires it, or to protect someone's safety.
How long we keep it
Club records are kept for as long as the club has an account with us, because a club's value in the product is partly its history — previous seasons, previous rosters, previous payments. When a club closes its account, we delete or anonymise its data within a reasonable period, except where we are required to retain financial records.
Your choices
- Families can change or stop non-essential club emails from the preferences link in any message, without signing in.
- SMS is opt-in and can be withdrawn — reply STOP to any message to opt out, or HELP for help, or turn it off in notification settings. Message and data rates may apply.
- Anyone with an account can view and update their own profile.
- Requests to access, correct, export or delete information should go to your club first; contact us if your club cannot help.
Transactional messages — a receipt, a password reset, a registration confirmation — are part of the service and cannot be opted out of while an account is active.
Cookies
The application uses cookies that are strictly necessary to keep you signed in and to protect against cross-site request forgery. This marketing site does not set advertising or cross-site tracking cookies.
